REQUIREMENTS

EDUCATION LEVEL:

High school diploma, required. Two years college or equivalent vocational training beyond high school, preferred.

EXPERIENCE DESIRED:

One to three years’ experience in a similar position.

PHYSICAL REQUIREMENTS:

This position requires constant hand-eye/mind-eye coordination, hearing; intermittent keyboarding, repetitive motions with wrists, hands, and fingers, opening, sitting, speaking, and writing. The position requires frequent grasping, pulling, pushing, typing, and walking.

OTHER REQUIREMENTS:

Ability to communicate effectively with and relate well to others. The ability to work with frequent interruptions. Ability to establish rapport with a variety of customers with a focus on customer service through in-person/phone/ email requests. Demonstrate attention to detail. Demonstrated proficiency with computer data entry, word processing, spreadsheets, and communication skills for assisting others.  Ability to think logically and debug data input/output problems.  General understanding of databases.

Director of Data Services; Coordinator of Assessment and Evaluation; Student Records and Registration Supervisor

RECEIVES GUIDANCE FROM:

Director of Data Services; Coordinator of Assessment and Evaluation, Student Records and Registration Supervisor, Student Accounting Specialist; Registration Specialist, and Assessment Support Specialist

ESSENTIAL FUNCTIONS & DUTIES

  1. Answers phone calls and assists with walk-ins as primary responsibility.

  2. Performs receptionist and clerical duties for Data Services including timesheets and purchasing.    

  3. Prepares/composes written communication as requested.

  4. Prepares and sends transcripts to high schools, colleges, and other post-high institutions.

  5. Prepares and sends records related to past student records requests and agency records requests.

  6. Serves as primary backup for the Student Records Clerical.

  7. Completes data entry in Infinite Campus as assigned.

  8. Assists with online registration processing as assigned.

  9. Assists with the purging of student cumulative files.

  10. Supports Recovery testing and Semester Test makeups.

  11. Organizes Course Equivalency testing.

  12. Creates items and tests in the online assessment system for District testing.

  13. Assists in distribution of state assessment materials.

  14. Updates and maintains online assessment systems and programs.

  15. Supports rostering students and uploading scores for online assessment systems.

  16. Provides customer technical support for Data Services related systems.

  17. Works with Data Services staff on priority projects.

  18. Provides excellent customer service and assistance to internal and external customers through walk-in, telephone, and email.

  19. Performs other duties as assigned by Supervisor.
